Privacy & Data Ethics Policy

Effective Date: March 2, 2026

Version: 1.0

Applies to: Any AI or agentic AI system operated by Mark Myers

What This Policy Covers

This policy describes how AI systems and automated tools operated by Mark Myers collect, process, store, and protect information about the people who interact with them. It applies to any AI-assisted process, agentic AI system, or automated tool that handles user information — regardless of the underlying technology platform.

If you interact with an AI system I operate, this policy applies to you.

My Commitment

I believe AI should make things better for people, not extract value from them. These are the principles that govern how I use AI in any context where your information is involved:

  • Your data serves you, not me. I collect only what I need to help you, and I keep it only as long as it's useful.
  • AI is a tool, not an authority. Automated systems assist my work. They do not make autonomous decisions about you without human review.
  • Transparency is non-negotiable. You will always know when AI is involved in processing your information, and you can always ask how your data was used.
  • I protect your information as if it were the most sensitive category of data that exists. Not because the law always requires it, but because that is what ethical practice demands. Every piece of user data — regardless of type — receives strict access controls, purpose limitation, minimum necessary use, and protection against casual or unauthorized disclosure.

  • What Information May Be Collected

When you interact with AI systems I operate, the following types of information may be collected:

  • Identity information: Your name, email address, phone number, or other contact details you provide
  • Communication content: Messages, questions, requests, and other text you send to or through my systems
  • Interaction data: Timestamps, session identifiers, and basic metadata about how you interact with the system
  • Context you provide: Any additional information you share to help the system assist you
  • What I do NOT collect:

  • Biometric data
  • Financial account information
  • Government identification numbers
  • Location tracking data
  • Browsing history outside of direct system interactions

  • How Your Information Is Processed

Your information may be processed using AI-assisted tools for the following purposes:

  • Responding to your requests: Generating responses, drafting communications, retrieving information
  • Pattern recognition: Identifying relevant context to provide better assistance
  • Automated analysis: Summarizing, organizing, or categorizing information you provide
  • Communication drafting: Preparing messages or documents on your behalf or related to your inquiry
  • All AI-assisted processing is subject to human oversight. No automated system makes final decisions about you without a human reviewing the output.

What Your Information Is NOT Used For

Your information will never be used for:

  • Selling or sharing with third parties for their commercial benefit
  • Advertising, marketing, or profiling beyond the purpose of our direct interaction
  • AI model training — your data is not contributed to improve AI models
  • Behavioral tracking across unrelated contexts
  • Automated decision-making that affects your rights, opportunities, or access without human review
  • Any purpose you did not consent to or that was not necessary to fulfill your request

  • Data Minimization

I follow a simple rule: collect only what is needed, keep it only as long as it is useful.

  • Information is collected for a specific purpose and used only for that purpose
  • When the purpose is fulfilled, information is deleted or de-identified
  • I do not retain information "just in case" — if there is no active need, the data does not persist
  • Automated systems are configured to minimize data retention wherever technically feasible

  • Human Oversight

AI assists my work. It does not replace my judgment, and it does not make autonomous decisions about people.

  • Every AI-generated output that affects you is reviewed by a human before it is acted upon
  • AI systems flag uncertainty rather than guessing — if the system is not confident, a human makes the call
  • No automated process overrides human accountability — I am responsible for the actions taken with the help of AI, not the AI itself
  • You can always request human review of any AI-assisted decision or communication that involves your information

  • Your Rights

    You have the right to:

  • Access: Ask what information I have about you and how it has been used
  • Correction: Request that inaccurate information be corrected
  • Deletion: Request that your information be deleted from my systems
  • Explanation: Ask how your data was processed, including whether AI was involved and what role it played
  • Object: Decline AI-assisted processing of your information where an alternative exists
  • To exercise any of these rights, contact me directly. I will respond promptly and in plain language.

    Data Storage and Security

Your information is protected by the following practices:

  • Access controls: Only authorized individuals and systems can access your data. AI systems operate under strict governance frameworks that limit what they can access and how.
  • Encryption: Data is encrypted in transit (HTTPS/TLS) and at rest where technically feasible (full-disk encryption on storage devices).
  • Local-first processing: Where possible, data is processed and stored on local infrastructure rather than transmitted to external cloud services.
  • Minimal external transmission: When data must be sent to external AI processing services, it is transmitted securely and subject to the provider's data retention and deletion policies. I select providers with short retention windows and no-training-data commitments.
  • Regular review: Security practices and access controls are audited periodically to ensure they remain appropriate.

  • Third-Party Disclosure

Your information may be shared with third parties only in the following circumstances:

  • With your explicit consent — you have clearly agreed to the specific sharing
  • Legal obligation — a valid legal process (court order, subpoena) requires disclosure
  • Safety — there is a genuine, immediate risk of harm to you or others, and disclosure is necessary to prevent it
  • In all other cases, your information stays with me. I do not share data with partners, affiliates, advertisers, or data brokers. Period.

    AI Disclosure

You will always be informed when you are interacting with or being served by an AI system. This includes:

  • Direct AI interaction: If you are communicating with an automated system rather than a human, you will be told
  • AI-assisted output: If a communication, document, or analysis was produced with AI assistance, that involvement will be disclosed when relevant
  • AI-processed data: If your information was analyzed or processed by AI tools, you can ask and I will tell you
  • I do not use AI to impersonate humans or to create the impression that automated output is the unassisted work of a person.

    Contact

If you have questions about this policy, want to exercise your data rights, or have concerns about how your information was handled:

I will respond to privacy inquiries within a reasonable timeframe and in clear, human language — not legal boilerplate.

    Policy Updates

This policy may be updated as my AI tools and practices evolve. When changes are made:

  • The effective date and version number at the top of this document will be updated
  • Material changes (new data collection, new sharing practices, changes to your rights) will be communicated directly where feasible
  • The current version of this policy will always be available at the location where you first found it
  • Minor clarifications and formatting changes do not constitute material updates.
